Setting up your availability schedule

As a new coach, setting up your availability schedule is essential for managing client bookings efficiently.

Once you have decided what coaching services you are ready to provide, you will need to schedule you availability in the platform so that customers can find you and book in with you.

Follow this step-by-step guide to ensure your schedule is properly configured in the Exercise.com browser app to reflect your availability as well as those times when you are unavailable. Step 1: Log In to Your Coach Account

  1. Open a web browser and navigate to Exercise.com.

  2. Click on the Login button at the top right corner of the page.

  3. Enter your credentials and log into your coach account.


Step 2: Navigate to Your Schedule Settings

  1. Once logged in, locate the Coach Dashboard.

  2. In the navigation menu, click on Schedule


Step 3: Navigate to Manage Availability Schedules

  1. In the top left corner underneath the black navigation menu, click on the drop down menu.

  2. Select Manage Availability Schedules


Step 4: Navigate to +New Schedules

  1. In the top right hand corner, underneath the black navigation bar, click on New Schedule


Step 5: Choose Your Availability and Unavailability Settings

  1. Choose whether you are logging your Availability or Unavailability. We suggest logging your general consistent availability first. Once this step is complete, you can layer your unavailability schedule over the top.

  2. Choose the start and finish date for the availability you are scheduling. You don't need to add an end date, this is optional.

  3. Choose how often you want this availability to repeat, including the days of the week.

  4. Choose when you wish your availability time of day to start and finish.

  5. Make sure you have selected yourself as the staff member for this schedule.

  6. Click on the dropdown menu under Bookable Services and choose which type of service you are available for. You can pick more than one service.

  7. You also have the option to decide if you want a time buffer before the session, after the session or both. It is recommended to give yourself a minimum of 10mins between sessions to allow time to prepare for the session, or take any final notes after the previous session. This also gives a buffer if the session runs a few minutes over time.

  8. Under Advanced Settings, you have the option to choose a colour for your schedule. This may be helpful for you in identifying between availability versus unavailability, and different types of sessions booked.

  9. Click Save Changes to update your schedule. Your clients will now be able to see and book sessions within your designated time slots.

  10. You will be automatically taken to the view in the image below, confirming the schedule/s you have confirmed

If you need to edit the schedule, you can simply click on the pencil icon, and you will be taken back to the schedule settings where you can make adjustments.


Step 7: Calendar View of Your Availability Schedule

  1. In the drop down box, select view schedule.

  2. You will see your availability in the colour block you have chosen.

  3. To see more detail, simply hover over the day and time, and you will see what time of sessions you have made yourself available for and the time you are available.


Step 6: Managing and Updating Availability

  • Ensure you review your schedule regularly to maintain accuracy and availability.

  • If you need to adjust your schedule, simply return to Manage Availability Schedules and make updates as needed.

  • For temporary schedule changes (vacation, sick days, etc.), use the Block Time Off feature to prevent bookings during those periods. To do this, you can click on the day and time of your availability in the calendar view and select Create Unavailability Event.

  • From here, you can fill in the details of your unavailable time/s which will ensure nobody books you during that block.
